Privacy policy

How Billman Midstream Trading collects, uses and keeps personal data from this website, its forms, the newsletter, live chat, WhatsApp and visitor statistics.

Last updated: 15 October 2026

Who we are

This website is run by Billman Midstream Trading LLC, 502 W 7th St, Suite 100, Erie, PA 16502, United States (“Billman Midstream Trading”, “we”). We decide how the personal data described in this policy is used. You can reach us at info@billmanmt.com or +1 (814) 204-2623.

What we collect

We collect only what you give us and the technical data a website needs to run.

  • Inquiry form (Submit an inquiry): your role, company, country of registration, name, work email and telephone; the products, specifications, quantities, units and supply basis you list; the delivery term, port, delivery window, payment method and services you choose; your message; and whether you ticked the newsletter box.
  • Message form (Contact Us): your name, work email, company and message.
  • Mandate appointment form: your company name, company registration number and address; the name of the person who represents the company; email and contact number; the representative’s passport number, if you choose to give it; your confirmation; and whether you ticked the newsletter box. We ask for a passport number only to verify the representative before the registration documents are signed, and you can send it later with your KYC documents instead.
  • Newsletter sign-up: your email address, your name if you give it, the page you signed up from and the time.
  • Live chat: the messages and details you type into the chat window, which is provided by Tidio.
  • WhatsApp, email and telephone: your number or address, your name and what you write or say to us.
  • Transaction documents: if a transaction goes ahead, the know-your-customer documents both sides provide, such as company registration, ownership and director details and banking references.
  • Server logs: our web host records technical data such as IP address, browser type, the page requested and the time, to keep the website secure and working.
  • Visitor statistics: anonymous counts of visits, without cookies, as described in Visitor statistics.

Each form also sends the page address and the language of the page, so we know which form you used.

How we use it

  • To answer your inquiry or message and discuss a possible transaction with you.
  • To review a mandate appointment, verify the representative and send the registration documents.
  • To verify counterparties before commercial terms are exchanged, including sanctions screening.
  • To send the newsletter and news of our services, as described below.
  • To keep the website and our records secure.
  • To see how the website is used, from statistics that do not identify anyone, so we can improve it.

If you are in the European Union, including Spain, or in the United Kingdom, the legal bases we rely on are: the steps you ask us to take before a contract (answering an inquiry or a registration); our legitimate interest in verifying counterparties, keeping the website secure and understanding how it is used; our legal obligations, such as sanctions rules; and your consent for marketing.

Visitor statistics

We count visits with Cloudflare Web Analytics, a statistics service that does not use cookies, does not store anything in your browser and is not used to identify or follow individual visitors.

When a page loads, the statistics script sends Cloudflare the address of the page (without any query string), the page you came from, your browser, device type and operating system, the page’s loading times and your country. Cloudflare receives your IP address with this information but, according to Cloudflare, discards it at its nearest data centre and does not store it. We see only totals, such as how many visits a page had or which countries visits came from.

If your browser sends a Do Not Track or Global Privacy Control signal, the statistics script does not load at all. Ad blockers may also stop it. See the Cloudflare privacy policy.

Newsletter and marketing

We send the newsletter and news of our services by email to people who subscribe to the newsletter, and to people who tick the newsletter box on the inquiry or mandate registration form. We keep sending them until you unsubscribe.

To unsubscribe, email info@billmanmt.com with the subject “Unsubscribe”, or reply to any of our emails asking us to stop. Unsubscribing does not affect an inquiry or transaction you have with us.

How long we keep it

  • Newsletter sign-ups: until you unsubscribe. We then remove your address from the mailing list and keep only a note that you unsubscribed, so we do not email you again.
  • Inquiries and mandate registrations: for as long as we are dealing with your inquiry or registration and, if you ticked the newsletter box, for marketing until you unsubscribe.
  • Transaction records: if an inquiry leads to a transaction, we keep the records for as long as the transaction needs them and as long as the law requires.
  • Server logs: for the period set by our web host for security purposes.
  • Visitor statistics: Cloudflare keeps the detailed records for seven days and summarised statistics for up to six months. None of them identifies you.

You can ask us to delete your details sooner; see Your rights.

Who we share it with

We do not sell personal data. We share it only with:

  • Service providers that run parts of this website for us: Formspree, which delivers form submissions to our mailbox; Tidio, which provides the live chat (Tidio privacy policy); WhatsApp, if you message us there (WhatsApp privacy policy); Cloudflare, which provides the visitor statistics (Cloudflare privacy policy); our web host; and our email provider.
  • The other parties to a transaction, and their banks and inspectors, only as far as the transaction needs and after the confidentiality agreements are signed. Offers, counterparties and documents are shared only with the parties to a transaction.
  • Authorities, where the law requires it.

International transfers

We are based in the United States, and our service providers may process data in the United States and other countries. If you write to us from outside the United States, your data will be handled in the United States. Where the law requires it, we rely on the safeguards our providers offer for these transfers.

Your rights

You can ask us to tell you what personal data we hold about you, to correct it, to delete it, or to stop using it for marketing. You can withdraw your consent to marketing at any time. If you are in the European Union or the United Kingdom, you also have the rights to restrict or object to processing and to receive your data in a portable form, and you can complain to your data protection authority; in Spain, this is the Agencia Española de Protección de Datos.

To use any of these rights, email info@billmanmt.com. We may ask you to confirm your identity before we act.

Security

The website is served over an encrypted connection (HTTPS), and the forms send your entries over that connection. The newsletter list is stored on our server in a folder that browsers and search engines cannot open. Access to personal data is limited to the people at Billman Midstream Trading who need it.

This website is meant for businesses and is not directed at children.
